Madison Veterinary Specialists is a growing 24/7 independently owned and operated Emergency & Specialty Level 2 AHHA accredited animal hospital.  Our comprehensive, state-of-the-art Emergency & Specialty referral hospital partners with primary veterinarians to provide compassionate care for companion animals when they need us most. We provide exceptional patient and client care in Emergency, Dermatology, Internal Medicine, Surgery, Oncology and Neurology.

Madison Veterinary Specialists is currently growing and looking to fill a new Administrative Assistant / Bookkeeper.  This team member will directly support the MVS administrative leadership team, conduct bookkeeping, schedule meetings, share agendas and create meeting minutes. This position will also assist  in scheduling vendors as needed.

Length: Temporary to Hire (90-day)

Location: Madison, WI

Common work duties include

  • Accounting duties including data entry, scanning, processing accounts payable, receivables, etc.
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Take notes and distribute meeting minutes
  • Format information for internal and external communication i.e. memos, emails, presentations, reports
  • Provide support cross departmentally to support overall business needs

Our ideal candidate possesses the following skills:

  • 1+ years of bookkeeping experience is ideal
  • Experience working with QuickBooks accounting software
  • Experience with data entry, while demonstrating an acute attention to detail
  • Previous experience in an administrative role supporting executive leadership highly desired
  • Demonstrated ability to anticipate the needs of the team and take initiative to assist problem resolution
  • Collecting data, running reports, creating dashboards, newsletters, etc.

Required Qualifications:

  • Microsoft office products
  • Must have strong attention to detail and be organized
  • Must live in Wisconsin
  • Ability to read, write and speak English fluently in order to communicate effectively with team members across the company and externally.

Education:

  • High School diploma or equivalent
  • Preference will be given to candidates with a minimum education level of an Associate degree
