This position is under the supervision of the Hospital Administrator and is responsible for administrative support for all day-to-day Human Resources operations including the administration of employee benefit plans (i.e. Health, Vision, Dental, HSA/FSA, 401(k), etc.). Acts as a liaison between the employee and insurance providers to resolve any benefit related problems ensures effective utilization of the plans, and positive employee relations. Ensures plans are administered in accordance with federal and state regulations and plan provisions are followed. Assists the accounting department with the day-to-day payroll administrative activities and with payroll processing on a bi-weekly basis. Assist in developing and updating job descriptions, maintaining and tracking timely performance evaluations, tracking and other general assignments in support of the Human Resources Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Assist employees with education of the Handbooks and Human Resources Policies & Procedures under the direction of the Hospital Administrator, Operations Manager, and Nurse Manager.
  2. Conducts new employee benefit orientations ensuring:
    • All the required new employee documents are completed and returned to enter employee into the payroll system and enroll, etc
    • The employee gains an understanding of the benefit plans and the enrollment provisions, so that the employee can make informed benefit decisions.Collect and enter employee pay and benefit forms and enter into Paycom once complete.
    • All employees are entered into the Paycom system for payroll purposes and entered in the Paycom  system.
  3. Administers benefit plans including new and annual enrollments, status changes, and terminations by:
    • Working with Insurance vendor on plan development and implementation
    • Reviewing online enrollment for accuracy and processes enrollments with carriers within the required deadlines.Communicating employee missed deadlines along with the implications of missed deadlines on future eligibility.Monitoring benefit eligibility based upon eligibility guidelines as status changes occur, processing changes, and communicating changes to individual.Provide follow through, as needed on activation of employee’s FSA / Health Savings Account and ensure deposit is processed.
    • Coordinate with the Payroll Department to ensure accurate recordkeeping and proper deductions.
  4. Administering and assuring compliance with COBRA provisions by notifying vendors or reps. Also providing appropriate notifications regarding Conversion and/or Portability rights for Group Life Insurance.
    • Assisting with annual open enrollment periods. Arranging distribution  of materials from carriers with communication of changes to employees and arranging education materials from carriers to conduct employee presentations.Acting as a liaison between the employee and various carriers to resolve any benefit related problems. Ensuring effective utilization of the plans and positive employee relations.
  5. Ensuring plans are administrated in accordance with federal and state regulations and plan provisions are followed.
  6. Performs administrative Human Resources functions as needed to include:
    • Preparation of general internal and external correspondence as requested or needed.
    • Making photocopies, sending faxes as needed.
    • Prepares and maintains employee files in compliance with applicable legal requirements.
  7. Scanning and filing documents within the appropriate Human Resources files.
  8. Work with Client Services Supervisor and Nurse Manager support staff recruitment, manage and schedule interviews and complete reference checks
  9. Ensuring compliance, monitoring and updating I-9 Employment Eligibility Verification documentation, Maintains current I-9 books.
  10. Responds to requests for information concerning potential Unemployment Claims.
  11. Processing of employment terminations, including closing out employee files, terminating benefits, providing information for Unemployment Compensation eligibility determination, etc.
  12. Records and processes completed Employee Performance Evaluations. This includes processing salary adjustments / increases, and adjusting employee benefit contributions, when necessary, within the payroll software.
  13. Verifies employee income and employment status when requested.
  14. Assist in filing and follow up Worker Compensation 1st Report of Injury and submission to the Worker Compensation carrier, under the direction of the Nurse Manager
  15. Assists C-Suite as needed with assisting managers in Accident Investigations and ensuring those investigations are being conducted in a timely manner.
  16. Maintains MVS job descriptions. This includes working with managers to develop and maintain job descriptions in accordance to MVS and regulatory guidelines.
  17. Maintains evaluation tools and ensures evaluation tools are up to date with evolving job descriptions and new positions. Makes recommendations regarding process improvements.
  18. Assists in the employee performance evaluation process. This includes working with supervisors and managers to prepare and ensure evaluations are completed accurately and in a timely manner, soliciting feedback on the process, and making recommendations for process improvements.
  19. Assists with or administers safety programs to include the Ergonomic program.
  20. Manage and assist Employee Leave Administration program, to include FMLA and ADA, complete tracking of hours, and leave notification forms and letters
  21. Administers various human resources plans and procedures for all company personnel, assists in development and implementation of personnel policies and procedures; assists in the preparation and maintenance of the employee handbook, policies and procedures manuals.
  22. Participates in administrative staff meetings and attends other meetings or seminars as requested or needed. Presenting and welcome new team members during weekly hospital meetings
  23. Leading the New Employee Orientation sessions, and all areas of onboarding
  24. Assists Team Leads as directed by Nurse Manager and Operations Manager.
  25. Maintains an effective working relationship with employees, other agencies and the public.
  26. Maintains confidentiality of all personnel information, in compliance with applicable laws and standards of professionalism, and exercises a high level of discretion in managing HR information and documents.
  27. Maintains compliance with federal and state regulations concerning employment.
  28. Interacts harmoniously and effectively with others, focusing upon the attainment of organizational goals and objectives through a commitment to teamwork.
  29. Conforms to acceptable attendance and punctuality standards as outlined in the MVS Employee Handbook.
  30. Complies with all safety rules and protocols. Reports all accidents, regardless of severity, immediately to supervisor and completes incident/injury report and investigation form, which will be forwarded to Human Resources within 24 hours of incident.
  31. Abides by the organization’s compliance program and requirements.
  32. Stay current on all required hospital and SHRM compliance training for current year.
  33. Performs all other duties, as assigned by Hospital Administrator.
  34. Works with Administrative Assistant or designee to ensure compliance with FTCA requirements. Assist with verification of current licensure, confirmation of relevant training or experience as well as current competence, ability to perform requested privileges and all other criteria required by health center.
  35. Obtains results from National Practitioner Data Base queries, and Wisconsin compliance audits.
  36. Consults with corporate attorney under the direction of Hospital Administrator.

Job Overview:

The ER Coordinator, whether licensed or unlicensed, helps to manage patient care and the client experience.  They assist and provide timely, caring, compassionate and detail-oriented care for hospitalized patients and outpatients. The goal of the ER Coordinator is to foster a culture of team trust and enhance lines of communication between the ER, CCS team and the client.

They are responsible for assisting with and delegating ER triage calls, monitoring incoming and outgoing emails through the ER message center, facilitating communication between the ER team and CCS team, invoice auditing for the ER team and facilitating client/patient care. Emphasis and focus to be put on creating a comforting and empathetic experience for euthanasia’s, discharges and facilitating timely communication for patient visits. They must maintain detailed and correct medical records in ImproMed, while ensuring all charges are included in invoice. Updates and communicates with client in a timely and respective manner.  The ER coordinator is to attend rounds when possible to inform the CCS team on the plan for patients that day.

Requirements:

Educational: Extensive and broad knowledge of animal science, medicine, husbandry, including basic knowledge of pharmacology. High school diploma or equivalent is required. Higher education is preferred but not required.

Physical: Must have the strength and stamina to lift approximately 50 pounds, walk dogs weighing up to 130 pounds and work on their feet all day.

Ergonomic: An employee in this position must be capable of safely working in environment with potential exposure to hazardous materials, infectious and zoonotic diseases.

Other: An employee in this position must have a strong sense of helping client and caring for animals and to assist with emergency or critical-care patients as needed. Maintain strict confidentiality regarding clients and patients for whom the practice provides veterinary services. Ability to multi-task, prioritize and delegate while maintaining composure in stressful situations is expected.

Essential Job Functions:

General:

  • Always be in position and prepared to work at the start of each scheduled shift.
  • Be prepared to handle any pet or facility emergency that may arise. Follow contingency plans.
  • Competently speak and write the English language and communicate thru interpretive services as needed to meet the needs of the client.
  • Continuously strive to gain more information, additional skills, and keep up with new developments in the field through reading journals, and attending continuing education.
  • Follow OSHA standards, and other safety protocols and procedures put in place by MVS.
  • Know and use standard medical and business abbreviations and terminology when speaking and writing.

  • Maintain a professional appearance while at work, including clean and pressed uniforms or clothes.

  • Stay current on policies, procedures and schedule by checking your professional and personal e-mail, reading the weekly meeting minutes and Attendance on Demand daily.
  • Understand and be able to recognize animal behaviors (ex. Fear, aggression), know how to change approach to animal based on behavior.
  • Perform other duties as assigned

Clinical Experience and Responsibilities:

Interns will have primary case care with emergency cases, managing hospitalized patients, communicating with clients and writing records. They are under direct supervision on site with mentorship at all times, with an additional mentor who is a veterinarian in the practice. Interns will have the opportunity to train and rotate through the specialty service of their choice. Interns will be the primary surgeon on standard emergency procedures (thoracocentesis, pericardiocentesis, unblocking male cats, etc) and minor surgeries (laceration repairs, chest tube placement). They are able to be the primary surgeon with emergency surgeries (GDV, splenectomy, Foreign body removal, spay/pyometra, C-section) more as internship progresses. The expectation is that the intern is able to be the primary surgeon for emergency surgeries at the completion of internship. Interns are expected to write complete and concise records with lists of differentials. Board Certified Specialists or staff doctors to review and sign off on records until deemed satisfactory. Patient rounds are held twice daily.

The expectation of the program is that interns receive well rounded, thorough clinical and didactic training in emergency medicine as well as our core specialty services. Upon completion of the program, the intern should be proficient in medicine, diagnostics, surgery and the client communication aspects of veterinary medicine. Although this is an emergency and critical care focused internship, the program can be tailored to match an intern’s specific long term goals.

Didactic training:

Interns have weekly didactic rounds on a variety of topics. M & M rounds are held every other month with all ER doctors and specialists in attendance. Journal club is held every other month at MVS and includes all ER doctors and specialists. Annual cadaver lab facilitated by board certified surgeons for staff, DVM’s, and Interns, with focused time allotted for Interns.

Scheduling:

Approximately 15-18 shifts / month, including weekends and holidays. This excludes didactic training time.

Orientation/Supervision:

Interns will be under direct supervision by an attending doctor at all times. They will have a mentor who is a veterinarian in the practice, with quarterly review.

  • Record Keeping – creating and documenting medical records per MVS protocols
  • Client Communication – providing clients with updates on their pet, establishing release times, and answering or funneling any questions they have to the appropriate party
  • Release Appointments – finalizing preparations to release a Surgery patient from the hospital. Review the take home instructions with the client, as well as, answering any additional questions.

Secondary Surgery Inpatient Veterinary Assistant responsibilities:

  • Inventory – reviewing all items on the floor and ensuring they are properly stocked both in the patient prep area and in all operating rooms.
  • Clinic Maintenance – deep cleaning and inspection of all working spaces within the department
  • Technical Skills – patient restraint, blood draws, catheter placements, running laboratory tests, preparing patients for procedure
  • Pack & Prep – turning over operating rooms for the next procedure, cleaning & assembling packs and instruments to be sterilized for use

Veterinary Oncology Technician position with Sign-On Bonus

Madison Veterinary Specialists (MVS) and Emergency is a privately owned, AAHA Referral practice located in Madison, Wisconsin with Board Certified veterinarians in Oncology, Ophthalmology, Internal Medicine, Surgery, Neurology and Dermatology.

As the Oncology Certified/Licensed Technician primary responsibilities include providing veterinary medical nursing care, perform laboratory test and administering treatments under the direction of our board-certified veterinary Oncologist.  Additional duties include acting as the primary liaison between the client, doctor and clinical staff, assist in surgical procedures, perform anesthesia, catheter placement, calculate drug dosages (including CRIs), process prescriptions, prepare treatment estimates and invoices.

Our Oncology service utilizes progressive safety equipment including closed system transfer devices and a certified Type B2 biosafety cabinet to ensure our patient and team member safety.

Basic required qualifications include:

  • A graduate of a veterinary technician program with current registration as a Certified or Licensed Veterinary Technician possessing 1 or more year’s clinical experience in veterinary field.
  • Anesthesia administration experience required, ventilator experience a plus
  • Strong interpersonal skills to effectively interface with staff and clients effectively and with discretion.
  • Consistent and reliable ability to perform mathematical calculations for drug doses, CRIs, client invoices and estimates, and other position-related calculations.
  • Willingness to participate in continuing education in the area of Oncology and other related technician skills to ensure continued improvement in standard of care.

Work Schedule:

  • Other: An employee in this position must have a strong sense of helping clients and caring for animals and to assist with emergency or critical-care patients as needed. Maintain strict confidence regarding client and patient information. Ability to multi-task, prioritize and delegate while maintaining composure in stressful situations is expected.
